Conference Committee Chair
Current TACCM Vice President

  • Oversees all conference planning and monitors activities assigned to subcommittees
  • Plans and leads conference committee meetings and conference calls
  • Works with the TACCM Board to develop a conference budget and planning timeline

Venue Subcommittee
Current TACCM Vice President, Current TACCM President, Current TACCM Past President

  • Coordinates event logistics, hotel contracts, room reservations, F&B, and floor plans
  • Works with the hotel to ensure all meeting and event spaces are set up to specifications
  • Provides public transportation and shuttle information to conference attendees
  • Develops a list of restaurants, shopping centers, and points of interest for attendees
  • Coordinates event decorations (if applicable)

Program Subcommittee

  • Develops the conference theme, program tracks, and agenda
  • Identifies topics and speakers for breakout sessions and keynote addresses
  • Negotiates speaker fees and travel expenses (if applicable) and keeps presenters informed of conference details
  • Works with AV/Presentation Coordinator to ensure all presentations are provided in advance
  • Coordinates event decorations (if applicable)
  • Design, layout, editing, and proofreading of the printed program and related materials

Vendor/Sponsor Subcommittee

  • Determines sponsorship levels and associated benefits (Board review of levels needed)
  • Identifies new vendors, exhibitors, and sponsors
  • Negotiates vendor/sponsor contracts and keeps them informed of conference details
  • Collaborates with the Program Subcommittee and the PR/Marketing Subcommittee to ensure vendors and sponsors are recognized appropriately
  • Works with hotel to ensure all contracted booth spaces are set up as requested
  • Develops a plan to encourage attendees to visit vendor/sponsor booths (contests, etc.)

PR/Marketing Subcommittee

  • Creates PR and marketing communication schedule before, during, and after the conference
  • Prepares and distributes emails, social media posts, newsletter articles, and other materials needed to promote the conference
  • Provides members and potential members with regular conference updates

Website Coordinator

  • Creates conference and pre-con event in Club Express
  • Maintains conference web pages in Club Express

Registration Coordinator

  • Prepares regular registration reports and works with the TACCM Treasurer to ensure payment is received from all attendees
  • Manages the conference registration process and setup
  • Coordinates the volunteers that work the registration table, providing details so they can assist attendees, vendors, and presenters

AV/Presentation Coordinator

  • Identifies each presenters’ AV and presentation needs
  • Works with contracted AV company to ensure all required AV equipment is set up in each room

Pre-Con Experience Coordinator

  • Identifies the pre-con experience
  • Point of contact with contracted person/company
  • Seeks sponsorship if needed

Speaker Gifts Coordinator

  • Seeks vendor/sponsor to donate speaker gifts
  • Point of contact with contracted person/company

Attendee Gifts Coordinator

  • Seeks vendor/sponsor to donate attendee gifts
  • Point of contact with contracted person/company

Tote Bags & Lanyards Coordinator

  • Seeks vendor/sponsor to donate tote bags and lanyards
  • Point of contact with contracted person/company
